How to setup and view invoices

Invoices are created when you run billing if the selection is made. They are available on the advisor view and can be made available for clients through the Client Portal. This permissioning can be configured in Firm Settings.

Invoice Settings

To adjust the way your invoices will appear go to SettingsBilling SettingsInvoice Setup.

Check the box next to Show fee structures to include a section showing the rates, dollar figures, or tier breakdown of each fee next to its name.

To include the corresponding Due Date on your invoices, Select No Due Date, 30 Days from the Invoice Date, or End of Following Month. For example, if you were to run billing for a period ending with September 30th, the 30 Days from Invoice Date (October 30th) would be listed in the top right corner of the invoice as the due date. If you were to select End of Following Month, October 31st would be listed in the top right corner of the invoice as the due date.

To add your firm's Address to the top right "From" section of your invoices, type or paste it in the box next to Custom Address Label. Do not include your firm name as this will automatically be produced above your address.

To add a generic message to your clients near the top of your invoices type or paste your desired message into the box next to Header

To add a generic message to your clients at the bottom of your invoices type or paste your desired message into the box next to Footer.

Check the box next to Show agreement text to include preselected agreement text to the bottom of your invoices.

The agreement text is as follows: 

Per your agreement with [Firm], the management fee [X] will be directly withdrawn from your financial institution, as applicable. This invoice documents you are responsible for paying [Y] directly to your advisor."

where [Firm] is replaced with your firm name, [X] with the client's total fee, and [Y] with the amount they are responsible for paying directly.

This agreement text can be viewed by clicking where it says "View the agreement text.

Check the box next to Show non-billed disclaimer to include text at the bottom of your invoices explaining that no payment is necessary at this time.

The non-billed disclaimer is:

This is not a bill

If your custodial account is billed directly for advisory fees, please verify the accuracy of the calculation. Custodians will not determine whether fees are accurately calculated. Please note that small price differences may exist between custodial data and pricing data used in billing calculations. The last price of a security at month-end market close is used in calculating management fees.

This non-billed disclaimer can also be viewed by clicking where it says "View the non-billed disclaimer."

When you are done making changes here be sure to click Save.

View Invoices

Navigate to Invoices by selecting the Invoices tab on the top left of the Revenue Page.

To adjust certain settings of your invoices see Billing Settings located at the top right of this article. 

The Invoices tab shows a table of your generated invoices and details contained in the invoice, including number of accounts, valuation, and fees separated into custodian or directly billed. Use Table Features to manipulate this view. Clicking the billing group name will take your to the billing group details page. To view an invoice in Atlas click the three dots on the right of the table and select Details. To download a PDF of an invoice click the Download Invoices.
